Brand the portal and use your own domain
Put your logo, colour and legal links on the client portal, then serve it from a hostname you own instead of the platform address.
Your client portal is white-label. Two settings pages decide how it looks and where it lives: Appearance holds the brand, and Client Portal Domain holds the hostname. Do the brand first — it takes minutes and applies immediately — then the domain when you have DNS access.
Before you start
Both pages are owner-only. A custom domain additionally needs access to your domain's DNS records and a verification step.
Set the brand
Open SettingsAppearanceBrand.
| Setting | What it changes | Default |
|---|---|---|
| Workspace name | The account name, shown wherever no display name overrides it. | — |
| Display name | Shown instead of the workspace name. Leave it empty to keep the workspace name. | — |
| Logo text | The wordmark shown when no logo image is uploaded. Maximum 40 characters. | — |
| Company logo | Shown in the top-left corner and on the sign-in page. | — |
| Logo alt text | The text read out in place of your logo image. | — |
| Favicon | The browser-tab icon. Empty keeps the platform icon. | — |
| Privacy policy link | Where the portal's Privacy Policy button goes. Empty falls back to your site. | — |
| Terms link | Where the portal's Terms button goes. Empty falls back to your site. | — |
| Brand color | Accents buttons, active navigation, links and focus states across the portal. | — |
Set the legal links before your first client logs in
The portal has Privacy Policy and Terms buttons whether or not you fill these in. An empty link falls back to your own site, which is rarely the page you wanted a client reading.
Your vocabulary follows the brand
The portal does not only carry your logo — it carries your words. Add-on names, Work board column names and project timeline step names all render using your workspace vocabulary rather than the platform's defaults. If you renamed a delivery stage internally, the client sees your name for it.
Platform address versus custom domain
Open SettingsClient Portal Domain. It shows two things:
- The Platform address — the workspace subdomain your portal already answers on. It works immediately and needs no setup.
- Custom domain — a hostname you own, such as
portal.youragency.com.
Open Settings → Client Portal Domain
Note the platform address
This keeps working after you add a custom domain.
Add your custom domain
Enter the hostname you want the portal served from.
Add the DNS records shown
Copy them into your DNS provider exactly as displayed.
Verify
The domain reads Activation pending until DNS propagates and verification succeeds.
Custom domains are gated per domain
Each custom portal domain is enabled by the platform owner rather than self-served, and activation is not instant. Confirm your domain is live before you promise a client a branded URL or print it on anything.
What the domain also controls
The custom domain is more than cosmetic. Two other surfaces use it as their public address once verified:
- Your storefront link — see the storefront.
- Your booking pages — see booking pages. Without a verified domain a booking page has no shareable link at all.
Invite email sending
Branding the portal does not change who the invite email comes from. Invites send with your workspace sender name and reply-to, but from the platform address until you verify your own sending domain under SettingsEmail identity.
Verify the sending domain in the same sitting
The first thing a new client sees is the invite email. An invite from your own domain lands in an inbox far more reliably than one from a shared platform address.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| The domain reads Activation pending | DNS has not propagated, or verification has not succeeded yet | Recheck the records against what the page shows, then wait and re-verify |
| The portal still shows the platform address | The custom domain is not verified yet | Keep using the platform address until verification completes |
| A client sees the platform icon in their browser tab | No favicon is uploaded | Upload one under Appearance → Brand |
| Privacy or Terms opens the wrong page | The link fields are empty and fell back to your site | Fill in Privacy policy link and Terms link |
| The brand colour did not change a button | The colour accents buttons, navigation, links and focus states, not every surface | Nothing to fix — some chrome is intentionally neutral |
| The invite email came from an unfamiliar address | Your sending domain is not verified | Verify it under Settings → Email identity, then resend |
