Work and tasks

Run delivery from the Work Hub — the projects board, the task board and its filters, the task editor, My Work and Team views, and the weekly employee schedule.

Work is one page with six tabs that between them cover everything your team is doing: projects moving through stages, the task board, your own queue, the team's queues, the weekly shift schedule and meetings. The tab you pick is kept in the URL, so any view here is shareable.

Before you start

Permissions differ per tab. Projects needs projects access. Tasks and My Work need tasks access. Team is owner-only. Meetings needs the meetings permission. Any active team member can open Schedule.

Columns come from the project's status; the percentage on each card comes from its checkpoints. They move independently, which is why a project can sit in Build at 25%.

The projects delivery board

The board at WorkProjects is a drag-and-drop view of every project across the stage columns.

Drag a card to a new column

That writes the project's status, which is the same value Quick status sets on the Projects list.

Tick a step dot on a card

Marks an internal step complete.

Owners: add a column with + New

Beside the tabs. Use a column's kebab menu to rename or remove one.

Column rules

  • You cannot remove a default column while projects sit in it — move them first.
  • The board always needs at least one visible column.
  • Removing a custom column moves its projects back to the underlying stage column rather than losing them.

Dropping a project into Completed may prompt you to complete its still-open client-visible checkpoints.

Click a stat tile to filter

Overdue, Today, Review and Unassigned double as one-click filters.

Narrow further

Search, then Status, Project and Assignee.

Choose how it looks

Switch between Board and List, and set card density to Compact, Standard or Detailed.

Create work

Templates starts from a template set. New Task opens a blank one.

Deep links land on an exact view

Adding ?taskId= with a task id opens that task's drawer directly, and ?projectId= pre-filters the board to one project. Paste either into a message when you want a teammate to see the same thing you are looking at.

The task editor

One dialog creates and edits tasks, meetings and content items, wherever you open it from — Work, Calendar or Appointments.

Recurring items ask before they change the series

Editing a recurring task asks whether to update the whole series. Deleting one offers Delete all instances as a separate choice from deleting the one instance in front of you. Read the confirm before clicking through it.

The Other (custom user id) option on the assignee picker expects a raw identifier. In normal use, pick a teammate from the list instead.

My Work and Team

My Work shows only what is assigned to you, newest assignments first in list mode. Team groups every task into per-teammate swimlanes with avatars, role and counts, and is owner-only.

The employee schedule

The week grid at WorkSchedule shows everyone on the roster with their approved time off, shifts and optionally scheduled work, plus scheduled-hours totals per person.

Navigate weeks

Use the arrows, or Today to jump back.

Turn on Show tasks

Adds scheduled tasks and content to the grid. Shifts, leave and meetings always show.

Add a shift

Click New shift, or hover a person and day cell and use the clock icon to add one there.

Edit or delete

Click an existing shift band.

What the grid will and will not show you

  • Owners are never scheduled, so shift controls do not appear on an owner row.
  • Non-owners see their own row plus rows that actually have visible shifts or work that week.
  • A cell shows at most four items, then a "+N more" indicator.
  • Below tablet width the grid becomes a day picker with per-person cards.

Creating and editing shifts is owner-only.

Workspace-wide settings

Owners and admins get a kebab menu beside the tabs:

  • Task templates — create, edit and delete your own template sets, and hide the built-in ones.
  • Task types — your workspace's task-type vocabulary, including hiding built-in types.
  • Checkpoint defaults — the default checkpoint set applied to new projects.

Limits worth knowing

Task status changes do not email your team

The email notification that would fire when a project task changes status is a stand-in that does nothing. Nobody is notified. Until that changes, treat the board — not an inbox — as the source of truth, and tell your team the same.

Agent automations on a project do not generate tasks

The agent automations section on project detail is switched off. A saved agent-series will never produce tasks, so do not plan delivery around it.
