Outbound overview
How Outbound is organised — the Campaigns hub, Replies and Settings — and how to choose between a one-time email, a sequence, Smartlead, Apollo and SMS.
Outbound is everything Zyan sends to people who are not yet clients. It has exactly three tabs — Campaigns, Replies and Settings — and the Campaigns tab is a hub: one table of every campaign across every channel, with pills to filter it. Broadcasts, sequences, Smartlead and Apollo are detail pages under that hub, not tabs of their own.
Before you start
Outbound appears if you have at least one of: marketing access for email, sequences access, Smartlead eligibility, Apollo eligibility, or SMS campaign access. A channel pill only appears if you can use that channel.

One-time email
A broadcast to a list, sent once
Email sequence
A cadence from your own Gmail or Microsoft 365 mailbox
Smartlead
Mirrored from your own Smartlead account
Apollo
Mirrored from your own Apollo account
SMS
Texts from a business line, armed by an owner
One Campaigns table, filtered by channel pill
Choosing a channel
| Channel | Use it for | Sends from | Needs |
|---|---|---|---|
| One-time email | A newsletter or announcement to a list, sent once | Your verified marketing domain, or a connected Gmail or Microsoft 365 mailbox | Marketing access and a physical mailing address on file |
| Email sequence | Multi-step cold outreach with waits between steps | Your own Gmail or Microsoft 365 mailbox | Activation by Zyan, plus a mailbox with outreach sending on |
| Smartlead | Cold email you already run in Smartlead | Smartlead's own mailboxes | Your Smartlead API key, connected by an owner |
| Apollo | Sequences you already run in Apollo | Apollo senders | An Apollo API key and the Leads plan feature |
| SMS | Text campaigns from a business line | A connected Quo, Telnyx or Twilio line | The Leads plan feature, and an owner to arm each campaign |
The short version: send one message to a known list with a one-time email. Run a cadence to people who have not heard of you with a sequence. Use Smartlead or Apollo only if that is already where your outreach lives — Zyan mirrors them rather than replacing them.
Start a campaign
Open Outbound
OutboundCampaigns — you land on the hub with the full cross-channel table.
Filter if you need to
The pills are All, Email, Mailbox sequences, Smartlead, Apollo and SMS.
Click New campaign
The chooser asks which provider you want, then hands you to that provider's own composer.
Open a row to manage it
Each campaign has its own detail page with its own stats and controls.
The step rail on the chooser is a map, not a wizard
Provider, Audience, Content or sequence, Sender and schedule, Review shows what building a campaign involves. After you pick a provider, that provider's real composer takes over and the rail stops driving.
Settings reference
| Setting | What it changes | Default |
|---|---|---|
| Channel pills | Which campaign family the hub table lists. A pill is hidden entirely if you cannot access that channel. | All |
What is not in Outbound
Finding prospects is not part of Outbound — that is LeadsProspecting. Outbound takes an audience you already have and sends to it. Your agency strategy and brand voice are not here either; they live under SettingsAgent Context.
Check Status before you debug anything
OutboundSettingsStatus answers "is anything sending right now?" per channel and holds the master pause. It is the first place to look when a campaign appears stuck, and it costs nothing to read.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| A channel pill is missing | You do not have access to that channel | Ask the workspace owner; Smartlead is owner-only to connect |
| There is no Sequences area, only a card explaining activation | Email sequences are activated per workspace by Zyan | There is no self-serve switch; ask Zyan to activate outreach |
| New campaign offers fewer tiles than you expect | Each tile appears only if you can create with that provider | Apollo and SMS need the Leads plan feature |
| Smartlead is missing on your phone | Smartlead is hidden inside the iOS admin app | Use it in a browser on a computer |
| Nothing at all is sending | The master pause may be on | Open Settings → Status and read the per-channel cards |
