The connected Inbox
Work your Gmail or Outlook mailbox inside Zyan — threads, labels, filters and compose — and turn an email into an internal request without leaving the thread.
Inbox is your real mailbox inside the admin. Connect Gmail or Microsoft 365 and you get threads, labels, filters and a composer, with the advantage that an email can become an internal request in one step rather than a copy-paste into another tool.
Before you start
You need the email permission and a Gmail or Microsoft 365 mailbox connected under SettingsIntegrations.
Inbox and Replies are different places
This is the distinction worth learning first.
| Inbox | Outbound → Replies | |
|---|---|---|
| Shows | All mail in the connected mailbox | Only threads tied to your outreach |
| Use it for | Client mail, suppliers, receipts, anything | Triaging answers to cold email |
| Triage classification | No | Yes, with lead and company linkage |
A client reply never appears in OutboundReplies, and an outreach reply appears in both places. Neither is a sync failure.
Work the inbox
Connect the mailbox
SettingsIntegrationsGmail — or Microsoft 365.
Open Inbox and pick the mailbox
Use the account picker if you have more than one connected.
Narrow the list
The filter bar and your saved filters do the work here.
Reply, or compose
Mail sends from the connected mailbox, not from a Zyan address.
Turn an email into work
New internal request converts a thread into a request your team can pick up.
Internal requests never reach the client portal
A request created from an email is internal only. If the client should see it, raise it as a client request instead — see requests.
Settings reference
| Setting | What it changes | Default |
|---|---|---|
| Inbox settings — default view | Which view the Inbox opens on: All, Unread, or Clients. | All |
| New label | Creates a real Gmail label. It is created on every connected mailbox, not only the one you are reading. | — |
| Move Outlook conversation | Moves every message in the conversation to another Outlook folder. | — |
Labels here are real labels
A label you create in Zyan is a Gmail label. It will show up in Gmail on your phone, and anything you do to it in Gmail shows up here. Name them as if your whole team will see them, because they will.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| The mailbox shows Reconnect | The mailbox lost its grant | Reconnect it in Settings → Integrations |
| New mail is not appearing | The sync has not run yet, or the grant lapsed | Check the mailbox status in Settings first |
| An outreach reply is in both Inbox and Replies | Expected — Replies is a filtered view of outreach threads | Triage it in Replies |
| A client cannot see the request you created from an email | Internal requests are internal only | Raise a client request instead |
| A new label appeared on a mailbox you did not mean to touch | Labels are created on every connected mailbox | Delete it in Gmail if it was a mistake |
| Outlook messages will not move | The conversation move applies to the whole conversation | Move the conversation rather than a single message |
