Projects overview
How projects are organised in Zyan — buckets, stages, checkpoints and the four workspace tabs — and why completion never follows the column a card sits in.
A project is the delivery record for a piece of work you are doing for a client. Everything else in the delivery side of Zyan hangs off it: tasks, checkpoints, reports, the client's discovery form and the portal they log into. This page is the mental model. The pages after it are the procedures.
Before you start
You need to be an owner, or a team member with the projects access permission. Team members only see projects they are assigned to, and the Finance tab is owner-only.

The list and its buckets
Projects in the left navigation lists every project you can see as cards — rows on a phone — showing the client, completion percentage, checkpoint count, at-risk count and when it last changed. Four tabs sit above it: All, Active, Maintenance and Completed. Your choice is kept in the URL, so a filtered view is shareable.
Bucketing is keyword-based on the project's status text:
| Status contains | Bucket |
|---|---|
| "maint" | Maintenance |
| "complete" or "done" | Completed |
| anything else, including blank | Active |
Use the preset statuses
A blank status shows as an em dash and counts as Active. Legacy or hand-typed statuses keep rendering until you pick a preset. Set Quick status on the card to one of the presets and the bucketing stops surprising you.
Stages and the board
The same status maps onto the delivery board's seven columns — Planning, Discovery, Design, Build, Client Review, QA + Launch, Completed — plus two rails, Maintenance and On hold. Dragging a card on the board and picking Quick status on the list are the same write.
Checkpoints drive completion
This is the single most misunderstood thing about projects.
Completion percentage comes from checkpoints, not from the stage you picked. A project can sit in QA + Launch and still read 0% if nobody ticked a checkpoint. Checkpoints are also what the client sees: they are the milestone ladder on the portal's project timeline. You add and tick them on a projectProjectTimeline.
The board has seven columns, the client ladder has six milestones
Client Review shares a milestone with QA + Launch. The client's timeline is deliberately coarser than your internal board.
Dragging a project into Completed on the board offers to complete any still-open client-visible checkpoints for you, on projects using a custom checkpoint set.
The project workspace
Open a project and you get four tabs.
| Tab | What lives there |
|---|---|
| Client-facing | Discovery, client Tasks and client Files, each with a live count |
| Project | Setup, Google Ads, Brief & reports, Timeline |
| Board | The project's own task board and Project Task Templates |
| Finance | Monthly recurring revenue, setup fee and the project danger zone. Owner only |
The header card carries the project name with inline rename, the workflow, the due date, the delivery progress bar and the linked client.
Two sections are not where you would expect
Recurring cadence exists but has no button in the Project sub-navigation — a link to it redirects to ProjectSetup. Google Ads is hidden inside the iOS admin shell and on workflows that do not include ads.
Workflows
A workflow — sometimes called the project type — is a template your workspace defines that decides which internal sections a project has, such as Brief, Timeline and Google Ads. If your workspace only has one workflow, the picker never appears when you create a project.
Where the rest of the work lives
Projects hold delivery. The day-to-day work sits next door in the Work Hub at Work, which folds the projects board, the full task board, your own queue, the team view, the weekly schedule and meetings into one page. Hours worked go to Timesheets, documents to Files, and internal writing to Notes.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| A project is not in the bucket you expected | Bucketing is keyword-based on the free-text status, and a blank status counts as Active | Set Quick status to a preset stage value |
| A project shows 0% or an em dash for completion | Completion is checkpoint-driven, and this project has no checkpoints | Add checkpoints on the project's Timeline, or apply a checkpoint default set |
| A Quick status change reverts with "Status update failed" | The write was refused by permissions, and the page reads the row back rather than faking success | Use an owner account, or ask for the projects edit permission |
| A team member sees an almost-empty project list | Members only see projects they are assigned to | Assign them to the project |
| The Finance tab is missing | It is owner-only | Ask an owner for the figures |
| The "N open PRs" badge never appears | It only loads for owners on plans with the Builder feature | Nothing to fix |
