Branding your workspace
Set the name, logo, favicon, brand colour and legal links your staff and clients see — and understand where each value actually appears.
Zyan keeps one branding record per workspace. The admin portal, your sign-in page and your clients' portal all read it, so a single pass on SettingsAppearanceBrand changes all three at once. There is no separate client-portal logo to remember.
Before you start
The whole Brand card is owner-only — it is hidden from members entirely. The display preference above it (System / Light / Dark) is personal and everyone sees that.
Set it up
Open the Appearance settings
Go to SettingsAppearance. The Brand card sits below the display preference tiles.
Edit the text rows you want
Workspace name, display name, logo text, logo alt text, and the two legal links.
Click Save
One Save covers all six text rows. It stays greyed out until a row actually differs from what is stored.
Upload a logo and a favicon
These save on upload, not on Save.
Pick a brand colour
Click a swatch, or type a hex value and click Apply. Reset returns you to the platform default.
Save does not cover everything
Logo, favicon and brand colour each save on their own action. If you upload a logo and then leave without touching a text row, the logo is still saved — and if you edit a text row and only upload a logo, the text row is not.
Settings reference
| Setting | What it changes | Default |
|---|---|---|
| Workspace name | The account name, shown wherever no display name overrides it. Maximum 120 characters. | — |
| Display name | Shown instead of the workspace name in headers, page titles and on the sign-in page. Maximum 120 characters. | Empty — falls back to the workspace name |
| Logo text | The wordmark shown when no logo image is uploaded. Maximum 40 characters. | Empty — falls back to the workspace name |
| Company logo | The mark in the top-left corner and on the sign-in page. JPG, PNG, WebP or SVG, up to 5MB. | None |
| Logo alt text | What a screen reader announces for the logo. Maximum 120 characters. | Empty — falls back to the workspace name |
| Favicon | The browser-tab icon for both your admin portal and your client portal. PNG, ICO, SVG, WebP or JPG; square, 512px or smaller, under 512KB. | None — the platform icon |
| Privacy policy link | Where the client portal's Privacy Policy button goes. Must be a full https link, up to 2048 characters. | Empty — falls back to your main site at /privacy-policy |
| Terms link | Where the client portal's Terms button goes. Must be a full https link, up to 2048 characters. | Empty — falls back to your main site at /terms-conditions |
| Brand color | Accents buttons, active navigation, links and focus states across the portal. Swatch, or a hex value plus Apply. | Platform default (#60A5FA) |
Where each value shows up
| Value | Admin portal | Sign-in page | Client portal |
|---|---|---|---|
| Workspace name | Yes | Yes | Yes |
| Display name | Overrides the name | Overrides the name | Overrides the name |
| Company logo | Top-left mark | Yes | Yes |
| Logo text | Used when no logo image exists | Yes | Yes |
| Favicon | Browser tab | Browser tab | Browser tab |
| Brand colour | Buttons, nav, links, focus | Yes | Yes |
| Privacy and Terms links | — | — | The two footer buttons |
Logo text is the cheap win
If you have no usable logo file yet, set Logo text. It renders a wordmark in place of the missing image everywhere the logo would have gone, which reads far better than a workspace name in the default styling.
Legal links
Both link fields must start with https://. Anything else is refused on save
with "Enter a full link that starts with https." — a bare domain, an http://
link and a relative path all fail.
If you leave a field empty, Zyan falls back to your main site: /privacy-policy
for the privacy link and /terms-conditions for the terms link. If there is no
main site to fall back to either, the button is hidden in the client portal
rather than rendered as a dead link.
Client portal appearance and links
Two further cards on SettingsWhite Label dress the client portal specifically. Both are owner-only.
- Client Portal Appearance — three image slots for background and hero imagery. Slots you leave empty keep the built-in platform imagery, so you can override one and leave the other two alone.
- Portal links — where the portal's Back to homepage and Contact us links send visitors. Both must be full HTTPS URLs; anything else is dropped. An empty field hides its link.
Branding is not the same as a custom domain
Branding changes what the portal looks like. Serving it on a domain you own is a separate claim on SettingsWhite LabelClient Portal Domain, and it needs the custom-domains plan feature. Entry-level plans see an upgrade notice where the claim form would be. Your admin workspace always stays on the platform address regardless. See Brand the portal and use your own domain.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| The Save button is greyed out | No text row has changed yet | Edit one of the six text rows. Images and colour save on Upload and Apply |
| A logo upload is rejected | Wrong format or over 5MB. iPhone HEIC photos are not accepted | Convert to JPG, PNG, WebP or SVG and compress below the limit |
| A favicon upload is rejected | Over 512KB, or not square and 512px or smaller | Resize to a square PNG or ICO under 512KB |
| “Enter a full link that starts with https” | A legal link is missing its scheme, or uses http:// | Paste the full https:// URL |
| “Could not load the current branding — nothing was saved. Refresh and try again.” | The branding record could not be re-read, so the save was refused rather than risk overwriting other values | Reload the page and save again |
| “Save was not permitted — only the workspace owner can update branding.” | You are signed in as a member, not an owner or admin | Ask the workspace owner to make the change |
| Some rows saved and others did not | A save failed partway; rows written before the failure stay written | Read the message — it names the field that failed — fix that row and save again |
| The Privacy or Terms button is missing from the client portal | Both the link and the main-site fallback are empty | Fill in the link on Settings → Appearance → Brand |
