Email lists
Build named contact lists from your clients, your leads or pasted addresses, keep them tidy, and understand why unsubscribed contacts stay on the list.
An email list is a named set of contacts you can target from a one-time email. Lists are built from clients you already have, leads in the Lead Manager, or addresses you paste in. A contact can be on several lists at once.
Before you start
Marketing view access shows the lists. Creating one, and adding or removing contacts, needs marketing edit access.
Create a list
Open the lists
OutboundOne-time emailsLists — then Create Email List.
Name it
Fill List Name and a description. The name is what you will see in the campaign recipient picker, so make it specific — Q1 newsletter, retainer clients beats List 2.
Add contacts
Pull in clients, pull in leads, or paste addresses one per line or separated by commas.
Open the list later to maintain it
The detail page shows every contact and their subscription state, and is where you add or remove people.
Subscribed and unsubscribed
Every contact on a list carries a state.
| State | Means | At send time |
|---|---|---|
| Subscribed | They have not opted out | They receive the campaign |
| Unsubscribed | They used an unsubscribe link, or were suppressed | They stay on the list and are skipped |
Unsubscribed contacts are deliberately not deleted. Keeping them means a later import cannot quietly re-add someone who already opted out, so the suppression holds.
A campaign can complete having sent nothing
If every recipient on the chosen audience is unsubscribed or suppressed, the campaign finishes with nothing sent and says so. Check the list's contacts before assuming the send failed.
Settings reference
| Setting | What it changes | Default |
|---|---|---|
| List Name | How the list appears in the campaign recipient picker. | — |
| Description | A note about who is on the list and where they came from. | — |
| Manual emails | Adds addresses in bulk — one per line, or separated by commas. | — |
Already added is a feature, not an error
When you add contacts from clients or leads, anyone already on the list is marked Already added rather than duplicated. You can re-run an import safely.
Troubleshooting
| Symptom | Cause | Fix |
|---|---|---|
| A campaign reports far fewer recipients than the list size | Unsubscribed and suppressed contacts are skipped at send time | Open the list and count the Subscribed contacts |
| The campaign completed but nothing was sent | Every recipient was unsubscribed or suppressed | Pick a different audience |
| A pasted address did not appear | It was already on the list, or the format was not recognised | Look for Already added; paste one address per line |
| You cannot remove a contact | You have view access, not marketing edit | Ask the workspace owner for edit access |
| Someone who unsubscribed is still on the list | That is intentional — the row stays, suppressed | Leave it; deleting it would let a future import re-add them |
